This is probably the biggest one.
Especially if you don’t live in Costa Rica, you need people on the ground who are actually invested in making your retreat work. Your venue should be able to help you think through transportation, meals, staffing, excursions, schedules, local vendors and all the little things you don’t know you need until you need them.
At Metamorfinca, we don’t just hand you the keys to the property. We help our retreat leaders plan and navigate the logistics before they arrive.
Prepare your guests for the jungle.
Costa Rica is beautiful because it is alive.
There are bugs. There are geckos. There are frogs. You may hear howler monkeys at an unreasonable hour. You may see an animal you’ve never seen before.
This is true whether you’re staying at a luxury resort or a small retreat center. Preparing guests ahead of time makes a huge difference. You are coming to experience the rainforest—not a sanitized version of it.
Things work differently here.
Power occasionally goes out. The internet can go down. Roads can be rough. It can rain incredibly hard for an hour and then suddenly be beautiful again.
None of this needs to ruin a retreat.
The important thing is setting expectations and having a local team that knows what to do when Costa Rica inevitably reminds you that you’re in Costa Rica.
Don’t over-plan.
One of the biggest mistakes we see retreat leaders make is filling every hour.
Leave space.
People traveled all the way to Costa Rica. Give them time to swim, walk, nap, talk, explore the property or sit somewhere beautiful and do absolutely nothing.
Some of the best parts of a retreat happen outside the itinerary.
Think about transportation before anything else.
Getting everyone from the airport to a retreat center can be one of the hardest logistical pieces.
Try to coordinate arrival windows and arrange group transportation rather than having every guest figure it out individually.
And once everyone arrives, ideally they shouldn’t need to think about transportation again.
Pick the location based on the experience you want.
Beach Costa Rica and mountain Costa Rica are very different experiences.
Metamorfinca is in the mountains above the Southern Pacific coast, surrounded by jungle, rivers and wildlife. We’re still close enough to enjoy the beaches around Uvita and the Costa Ballena, but when you’re on the property, you feel removed from everything.
Think about what you want your guests to feel—not just what you want the photos to look like.
Have a rain plan.
Even in dry season, you’re in the tropics.
If an important part of your program can only happen outside, have a backup.
A good Costa Rica retreat center should have beautiful covered spaces where the experience can continue without everyone feeling like they’re stuck indoors waiting for the weather to change.
Figure out food early.
Three meals a day for 10, 15 or 20 people becomes a major operation very quickly.
Talk through menus, dietary restrictions, grocery sourcing, chefs and meal times well before everyone arrives.
Food is also part of the retreat experience. Keep it fresh, local and relatively simple.
Let Costa Rica be part of the retreat.
Don’t fly everyone to Costa Rica and then keep them in workshops for five days.
Go to the river. Walk through the jungle. Visit the beach. Sit outside. Eat the fruit. Get dirty. Watch the rain.

Choose people you trust.
A retreat has a lot of moving pieces, and something will almost always change.
A flight gets delayed. Someone has a dietary restriction you didn’t know about. It rains during the thing you planned outside. Someone needs a pharmacy. The power goes out.
The venue matters, but the people running it matter just as much.
Choose a retreat center that understands what you’re trying to create, communicates with you before you arrive, and is willing to problem-solve alongside you once your group is here.
